Volunteer Job Description: Administrative Help

As a small non-profit organization dedicated to doing a lot with a little, Hewalenamo is indebted to our volunteers. Volunteers serve many roles at within our organization, providing help that ranges from one-time, short shifts at an event to long-term commitments of expertise. 

Work Location
The U.S. office is located in Dallas, Texas and local volunteers are welcome. However, with the right attitude this could be a great virtual position – with the volunteer and staff communicating via email and video conference call.

Purpose of the Position
The Administrative Assistant supports a range of critical functions that allows Hewalenamo to focus on building and supporting our students in Ghana. The Administrative Assistant helps us stay organized and efficient, with a focus on organizing our data so we can track results and our communications materials so we can tell our story!

Responsibilities and Duties
This position is never dull! The Administrative Assistant tackles a diverse range of duties, including:

·        Communicating with our volunteers on a regular basis and helping connect them with meaningful, fun volunteer opportunities.

·         Coordinating all Hewalenamo board committee meetings, including scheduling, recording decisions, and following up on action items to make sure we are achieving our long-term goals.

·         Assisting with event logistics for our annual gala, as well as for other smaller events throughout the year, to better engage the public in our work.

·         Entering and organizing data related to our students in Ghana, such as textbook stocks, health programming girls’ enrollment, etc. to allow us to better track and understand our progress.

·         Organizing our communications materials to help us tell the stories of our students and schools more effectively.

·         Other special projects as identified by the Executive Director.

Qualifications
Basic knowledge of computers, including email, etc. Pleasant manner, patience, problem-solving ability, dependability, sense of humor.

Commitment Expected
Our Administrative Assistant plays a key role in our work. As such we request someone who can commit an average of 6 hours a week to the role, with actual hours ranging from 0 to 12. In addition, because there is a learning curve involved, we hope you can commit to serving in this position for a minimum of 6 months… but we hope you’ll want to stay longer! Of course, we know life happens and you may have to bow out – we will understand. We also request a short check in meeting with the Administrative Assistant at least twice a month – our check ins are short half hour video meeting.

Training
Training for this position will be provided. Also, the Executive Director will be available for questions and assistance at any time, and will commit to face-to-face or online meetings at least twice a month to make sure you get the support you need.
